You've come to the right place for Amilia SmartRec's monthly release roundup 🙌 - your go-to for all our latest releases to help you offer, manage & sell your activities online while connecting with your community.
Clients can now cancel drop-ins themselves regardless of the payment method
Previously, only those who registered for a drop-in with a Multipass could cancel it from their personal account or from the Amilia app. Now, all participants can cancel their drop-ins from their account or from the Amilia app, regardless of the payment method. You decide which drop-ins allow client cancellations!
New clickable invoice link column available in multiple reports
These reports now contain a clickable invoice link column to make it easy to access a relevant invoice when reviewing them:
Add the Invoice Link column to your report and it will appear in the web view and in your exported Excel reports! It is turned off by default for macro sensitive reports, like the Payment by item report.
Add a secondary profile picture to a client's account that only admins from your organization can edit
Need more control over who can change your client’s profile picture? The new Access Picture app might be for you! To increase security at facilities and minimize deceptive behavior by participants who might think about sharing paid memberships, this app allows you to include two profile pictures on each client’s profile.
You can activate the app via the Amilia App Store.
We’ve made your monthly statement even clearer by separating the invoice and account statement sections of the document! Don’t worry, the numbers and balances are the same 😉.
You can no longer edit the Account owner and existing contacts at step 2 of checkout
The account owner, existing primary and secondary legal guardians, and existing emergency contacts are no longer editable at step 2 of checkout. We made this change to reduce the possibility of creating duplicate accounts by mistake. Remember, you can always add someone new or change the account owner from the client’s account. Your clients can edit this information from their personal account as well.
We know that clean and organized data makes preparing your organization’s tax documents way easier. That’s why we’ve put together a list of reports that are sure to bring a curt nod of approval from the tax office clerk or even your friendly neighborhood auditor:
To review individual sales transactions, get the Breakdown of sales and pair it with the Sales by ledger code to find out the total sales for each GL account.
To find out how much money was exchanged (and why) check out the Payment by item report. For a breakdown of sum of payments (by payment method) per admin, get the Breakdown of payments.
For clients with an existing balance or credit, get the Accounts receivable and Accounts with credit balance reports.
If your organization has the accrual accounting type selected, we highly recommend using the reports in Journal entries to track the increase and decrease of balances with each transaction in your ledger accounts. To get a snapshot of your liabilities on a given date, download the new Liabilities report.
Your reports are as accurate as your reconciliation! To learn more about the process of matching payments with invoice items, check out Everything you need to know about Reconciliation on Amilia University.
Talk to you next month! 💙
